About the role
Virtual Assistant (VA) – Outbound Calling
Medico-Legal Expert Witness Practice (Emergency Medicine) · Seattle, WA
Job Summary
We are building a medico-legal expert witness practice specializing in emergency medicine and are looking to increase our visibility with law firms. We currently use an email marketing campaign and want to complement it with direct phone outreach. We're looking for a Virtual Assistant (VA) to make cold calls to local attorney firms in Seattle and across Washington State that specialize in medical malpractice cases, to identify interest in retaining an emergency medicine expert witness.
Key Responsibilities
- Make cold calls to local attorney firms in Seattle and throughout Washington State that specialize in medical malpractice cases.
- Clearly and professionally present the practice's emergency medicine expert witness services.
- Confirm the firm's area of practice and identify whether they have pending cases that may require an emergency medicine expert witness.
- When there is interest, send the physician's CV and rate sheet by email.
- Log every call in a Google Sheets tracker, including: firm name, contact, confirmed area of practice, relevant pending cases, call outcome, and whether the CV was sent.
- Follow up promptly with contacts who express interest or ask to be recontacted later.
- Report findings and response patterns after completing the first batch of calls to help inform next steps.
Initial Project Scope
- Phase 1: contact 50 local attorney firms (Seattle / Washington State) that specialize in medical malpractice.
- Based on the results and feedback gathered, we will decide whether to expand outreach to more firms or adjust the strategy.
Requirements
- Fluent written and spoken English, without a discernible accent.
- Friendly and professional communication style at all times.
- Prior experience with cold calling, telemarketing, sales, or business development (preferred).
- Familiarity with the legal or medico-legal field (nice to have, not required).
- Comfortable working with Google Sheets / Google Docs for tracking and reporting.
- Organized, detail-oriented, and able to handle objections or rejection professionally.
- Reliable, self-directed, and a strong written communicator for reporting progress.
Tools Provided
- Call script and responses to common objections.
- Target list of law firms (or search criteria if the VA is expected to build the list).
- CV and rate sheet, ready to send by email.
- Google Sheets template for call tracking and follow-up.
Engagement Details
- Remote, part-time / freelance.
- Initial project: outreach to 50 firms, with potential for ongoing work based on results.
