Sales Admin On-Demand

🌍 Redefining how people live.

At Blueground, we believe that when your base is reliable, the world opens up. That's why we're building the world's leading platform for living.

Every year, 350 million people move between cities—yet today's housing options haven't caught up with the needs of this modern, mobile generation. Blueground was built to change that.

With 40,000+ homes across the globe, available for stays from a few days to a year or more, we're just getting started. We're on an exponential growth path to redefine living and create an entirely new category. Our edge? Powerful proprietary tech, operational excellence, and a team that executes with speed and discipline.

Our culture is grounded in five principles:

Guests First – Every decision starts with their experience. Move Fast – We value speed, momentum, and action. Dive In – The magic is always in the details, and we go deep. Embrace Change – Change isn't a disruption; it's how we grow. Keep It Honest – Transparency accelerates progress—and strengthens relationships.

If you're ready to do the best work of your life and help reshape how the world lives, we'd love to meet you.

About the Role

We are looking for a Sales Admin based in Brazil to support our sales team by owning the administrative and client-facing steps that take a booking from signed to moved in.

The Sales Admin is responsible for managing pre-move-in client communications, completing guest screening and background requirements, coordinating arrivals, and setting up bookings accurately in our internal systems. This role works closely with sales, housing sourcing, and operations teams while serving as a reliable point of contact for clients and guests.

If you are highly organized, detail-oriented, and thrive on keeping many moving pieces on track in a fast-paced environment, this role may be a great fit.

What you will focus on

• Own pre move-in client communications, including sending move-in hand-off emails with everything clients and guests need before arrival
• Manage background requirements by generating background documentation and sending it to clients for review
• Follow up with clients and guests to ensure background checks are completed on time
• Locate and route background documents through the correct e-signature workflow
• Screen guests through SafeRent Solutions and track results to completion
• Coordinate pet and parking registrations with clients and property partners
• Communicate changes of date (COD), changes of address (COA), and cancellations with clients, keeping all parties aligned
• Run daily arrivals audits to confirm upcoming bookings are complete, accurate, and move-in ready
• Send manual arrivals emails when automated communications don't apply
• Set up bookings in BlueB, including creating buildings, properties (POs), and Deal Sheet (DS) records
• Maintain accurate records across internal systems so sales, sourcing, and operations teams have up-to-date information
• Partner with internal teams to resolve issues quickly and deliver a smooth move-in experience for every guest
• Sense of Urgency & Prioritization: Ability to effectively prioritize competing tasks in a fast-paced environment, with client communication and time-sensitive requests taking priority.
• Client Advocacy & Problem-Solving: Proactively explore alternative solutions and available options to achieve the best possible outcomes for clients while ensuring their needs remain the top priority.

What we are looking for

• Bachelor's degree preferred
• 1–2 years of experience in sales support, administration, corporate housing, hospitality, real estate, property management, or a related field
• Exceptional organizational skills and ability to manage multiple bookings and deadlines simultaneously
• High attention to detail when processing documents, screenings, and system entries
• Clear, professional written and verbal communication skills with clients and guests
• Strong follow-through and ability to keep tasks moving without close supervision
• Familiarity with tenant screening, background checks, or lease/onboarding paperwork is a plus
• Proficiency in Google suite and comfort learning internal systems for data entry and tracking
• Proactive, solution-oriented mindset and ability to move quickly in a fast-paced environment
